
Office Experience - From Chaos to Control
Overview
Immigration law offices run on people. But behind every attorney and front desk staff member, everything was manual check-ins on paper, campaigns in PowerPoint, client data scattered across Google Sheets. There was no system, no traceability, no single source of truth.
Office Experience was designed from zero: a configurable desktop platform that replaced disconnected tools with centralized operational control, giving staff real-time visibility and supervisors the data they never had.

The Process
The Problem
Front desk staff across multiple offices had no operational support. The existing iPad check-in was useless most clients selected "Other" as their reason for visit, so staff had no way to prepare or prioritize. Supervisors couldn't see what was happening across locations. Micro-offices and large offices had completely different needs, but were forced into the same broken workflow.
Six qualitative interviews one hour each with front desk staff and supervisors confirmed what the team suspected: no data, no coordination, no control.

Research & Discovery
Collaborated with the UX Researcher throughout discovery. Participated in shadowing sessions with front desk staff and supervisors across office types, gaining firsthand understanding of operational pain points. Six one-hour interviews surfaced six key insights that directly shaped the platform architecture.

Definition & Strategy
Each interview insight translated into a concrete design opportunity: from redesigning check-in to capture real visit reasons, to enabling multi-task tracking per visit, to building flexible office configurations that adapt to micro-offices and large locations equally.

Product Design
Designed four interconnected modules end-to-end: Office Setup, Staff View, Supervisor View, and Client Check-in. Every decision traced back to a research insight, no feature was added without a friction point to solve.

Delivery
Delivered high-fidelity prototypes in Figma with complete dev handoff. Contributed to advancing the unified design system, improving accessibility by 20% and reducing iteration cycles by 10%.
